Terms and Privacy
The following terms and privacy conditions apply to all HALONG ODYSSEY CRUISE services provided directly or indirectly (via distributors) via the website, email, or phone. By accessing, browsing, and using our website, as well as making a reservation, you acknowledge and accept that you have read, understood, and agreed to the following terms and conditions (including the privacy policy).
These terms and conditions are subject to change anytime, so please check them frequently for updates.
1. TOUR PRICE
All rates on our website are charged per person in American dollars and are valid as specified in the “Price” tab, including a 5% service charge and excluding the 10% VAT tax. The offer pricing is valid only during the specified time period.
If the guest wishes to book the trip on a date not specified on the pricing list, please contact us at sale.halongodysseycruise@gmail.com for assistance.
1.1 Included in the quoted rate
All tours on our website include a “Included” section that clearly states what is included in the price:
- Buffet lunch
- Entrance fees
- English-speaking guide
- Limousine bus with air conditioning vehicle from and to Hanoi Old Quarter – Halong Bay, subject to your request.
- All activities as noted in the tour program
1.2 Excluded in the quoted rate
- Early and/or late check-in at the cruise
- Airfares and accommodation before and after the trip
- Visa fee and visa arrangement fee
- Drinks & personal expenses
- Gratuities and tips
- VAT tax
- All kinds of bank fees or booking fees.

- New Year on Dec 31st
- Lunar New Year on February 9th, 10th,11th
- Reunification and Labor Day in Vietnam: on April 30th and May 1st
- Independence Day on Sep 2nd
2. PAYMENT METHOD
For online bookings, all customers must pay in advance on our website. As previously stated, the price listed does not include the booking charge and is the final amount due to our company.
Guests can use one of three payment options to finalize the booking:
- Onepay or credit card: an extra fee will be applied.
- Bank transfer: no extra cost, but make sure the complete transfer fee is paid at your end so we can get full payment.
- Cash: If you are already in Hanoi and wish to pay in cash, no bank or booking fees will be charged.
In addition, for a large booking fee (above $1,000 USD), a deposit of 50% of the entire amount is accepted.
3. AMENDMENT, CANCELLATION AND REFUND
3.1 Amendment
If guests wish to make any changes before the trip departure date, please notify us in advance via email at sale.halongodysseycruise@gmail.com. Any fees associated with your amendment/ modification must be paid by you.
No modifications or amendments are permitted within two days of the departure date.
3.2 Cancellation
Any cancellation will be charged as follows:
Cancellation by guests
For individuals and small groups of under 10 passengers:
- Over 1 day before departure day: Free cancellation.
- Within 1 day before departure day: Charge 50% of the booking fee.
- On departure day or no-show: Charge 100% of the booking fee.
For groups of over 10 passengers:
- Over 3 days before departure day: Free cancellation.
- Within 3 days before departure day: Charge 50% of the booking fee.
- On departure day or no-show: Charge 100% of the booking fee.
Cancellation by Halong Odyssey Cruise
We reserve the right to cancel your booking under the following unavoidable circumstances: weather conditions, wars, civil turmoil, industrial disputes, natural catastrophes, terrorism, or directives from the local authority. Please be aware that we may have to cancel your excursion due to inclement weather in order to ensure the safety of all visitors. The following policies will apply during inclement weather:
- If the cancellation is received before the clients depart Hanoi for Halong Bay (and they have not yet enjoyed any services), they will receive a full refund.
- If the cancellation is made during the trip (guests have already utilized some services: transfer, lunch, day excursion in Ha Long Bay, etc.), we will charge just the actual price for these services and refund the remaining money.
- The cancellation of the cruise will be notified ONLY by the Halong Bay Local Port Authority, and frequently on short notice. Your understanding in this case is much appreciated.
NOTES:
- All of the prices listed above are subject to a 3% service charge, which is applied for credit cards (online and offline) and the OnePay online payment.
- No refunds will be issued in situations of no-shows.
4. VOUCHER OF CONFIRMATION
Once the booking has been completed, guests are required to provide all information in order to produce the trip voucher, including:
- Pick-up time: From 7:00 am to 7:30 am
- Pick-up address: At your accommodation in Hanoi Old Quarter.
NOTE:
- If your pick-up address is outside of Hanoi Old Quarter, please notify us in advance.
- Furthermore, if we are unable to pick up a guest owing to an incorrectly advised location or if the guests are not present at the given pick-up time, we cannot wait longer than 10 minutes. In those cases, if the guest misses the trip, our company will not be responsible for it.
5. LIABILITY AND INSURANCE
HALONG ODYSSEY CRUISE is responsible for any loss, injury, or damage experienced by passengers as a result of delays, accidents, natural disasters, political acts, or disturbances.
All guests are required to have full travel insurance.
Local circumstances may have an impact on accommodations and itineraries. If this occurs, we will make every effort to substitute a suitable arrangement of comparable value.
Participation in any trip entails complete acceptance of the aforementioned terms by all parties involved.
6. CHILDREN POLICY
- All children are welcome.
- One child under the age of four is free of charge. Only one kid is allowed per booking.
- Children from 4 to 9 are charged 75% of the adult ticket per cruise policy.
- Children 10 and older will be charged adult pricing.
Child’s cribs are available upon request and must be confirmed by cruise management.
7. REFUND OF UNUSED SERVICES
No refunds or exchanges will be offered for meals, sightseeing excursions, transportation, or any other services that are included in the tour fee but are not used by the tour participant.
8. PASSENGERS’ DETAILS AND DIETARY INFORMATION
All guests are required to submit their passenger information at least 24 hours before check-in (full name, date of birth, gender, nationality, passport number, Vietnam visa expiration date, contact number).
All dietary restrictions should be informed at least 24 hours before check-in to ensure your meals are prepared to the highest standards.
